Stan Houston Equipment Company is looking for a dedicated Full-Time Accounts Payable Specialist to enhance our financial operations.

Working Schedule: Monday to Friday during standard business hours.

Key Responsibilities:

  • Review and validate purchase orders, invoices, and financial statements, ensuring they meet company standards and compliance.
  • Accurately assign general ledger codes to invoices and input data into the accounting system.
  • Process vendor payments, ensuring correctness, proper authorization, and compliance with payment schedules.
  • Oversee large check runs and weekly discount payments.
  • Manage ACH and automatic payments efficiently.
  • Handle credit card transactions and record expenses accurately.
  • Maintain monthly credit card billing and documentation.
  • Prepare and submit Positive Pay files to the banking institution.
  • Keep comprehensive and updated accounts payable records, including invoice documentation and payment histories.
  • Build and maintain effective relationships with vendors, addressing payment discrepancies and inquiries promptly.
  • Collaborate with various departments, including purchasing and finance, to resolve issues and facilitate smooth payment operations.
  • Ensure adherence to financial regulations and company policies, assisting with audits as necessary.
  • Generate account analyses and monthly reports, along with general ledger entries as required.
  • Track 1099 information and prepare year-end documentation.
  • Support annual audit preparations with necessary details and reports.
  • Identify and implement improvements to streamline accounts payable processes and enhance efficiency.
  • Prepare and manage sales tax filings for multiple entities.

Qualifications:

  • Strong understanding of accounting principles and financial regulations (GAAP).
  • Ability to analyze financial data, identify discrepancies, and reconcile accounts effectively.
  • Proficient in accounting software and MS Office Suite (Word, Excel, Outlook).
  • Strong multitasking abilities and time management skills to meet deadlines.
  • Effective verbal and written communication skills.
  • Excellent customer service and interpersonal abilities.
  • High attention to detail and accuracy.
  • Strong organizational, creative, and problem-solving skills.
  • Demonstrated integrity and confidentiality in handling sensitive financial information.
  • Flexibility in working hours to meet company needs.

Requirements:

  • High school diploma or equivalent.
  • Three to five years of experience in accounts payable or a related financial role.
