Position SummaryThe Lead Admissions File Specialist serves as a key information resource and area expert for students, prospective students, faculty, staff, and external organizations through various communication channels including online, phone, and in-person interactions.
This role involves providing evaluation expertise in response to inquiries, complaints, and requests for review from academic leaders and students regarding the application and credential evaluation processes.
The specialist will also offer preliminary guidance on financial aid, scholarship eligibility, housing, orientation, student accounts, and other university policies and programs.
Key Responsibilities- Assist staff in addressing questions related to application review policies and credit transfer procedures.
- Investigate and resolve issues, complaints, or discrepancies efficiently.
- Deliver comprehensive services via in-person, telephone, and email to clients, particularly those requiring complex assistance.
- Represent the Office of Admissions at outreach events, both on and off campus.
- Utilize current and historical data from various systems to inform decision-making.
- Conduct initial reviews of application files, ensuring accuracy in information and decisions.
- Interpret admission requirements and counsel students on decisions and transfer coursework articulation.
Oversee and manage the workflow and business processes for the credentials analyst team, which includes:
- Processing and recording transcripts and grades.
- Evaluating residency classifications.
- Maintaining documentation and knowledge bases.
- Communicating effectively with students and the public.
Ensure timely and accurate services to students, faculty, and staff, integrating operational practices with other university departments.
Provide leadership to staff, including resource allocation, performance evaluations, and workflow management to align with departmental goals.
Train new and existing staff on evaluation procedures and credit transfer processes.
Act as a content expert on credentials analysis, residency regulations, and admissions processes, advising on policy modifications and software revisions.
Analyze unique situations on a case-by-case basis, applying university policy and exercising professional judgment.
Guide staff on policies and procedures, ensuring proper processing of admissions credentials and addressing inquiries effectively.
Contribute to the development of new policies regarding articulation agreements, course equivalencies, and residency interpretations.
QualificationsEducation and experience combinations may be considered. Additional education may substitute for work experience and vice versa.
- Education: High school diploma or equivalent.
- Experience: Minimum of 4 years in an office or related environment, with experience in handling complex data and records.
- Excellent communication abilities.
- High level of professionalism and dependability.
- Strong time management and prioritization skills.
- Commitment to quality and customer service.
- Ability to work effectively in a dynamic environment.
- Initiative and ability to build strong relationships with diverse populations.
- Understanding of federal, state, and institutional regulations.
