Job Summary

The Bainbridge Island Museum of Art is seeking a highly organized and detail-oriented Financial Operations Coordinator to support the financial operations of the museum. This role will be responsible for handling daily financial transactions, assisting with month-end accounting functions, and working closely with the Development department to track and communicate contributions.

Key Responsibilities
  • Financial Transactions: Process daily financial transactions, including posting, reviewing, and reconciling accounts payable and receivable.
  • Cash Handling: Pick up museum daily transactions for processing, create daily cash deposits, and deliver to the bank.
  • Mail and Donations: Pick up mail from both the museum and administrative offices, disperse and process payments as needed, and pick up cash from donation boxes on a weekly basis.
  • Development Support: Work closely with the Development department to track and communicate contributions, and assist in reconciling the development database (Salesforce) with the accounting system (QuickBooks) on a monthly basis.
  • Accounting and Data Entry: Prepare journal entries, perform various data entry duties, and maintain and organize accounting file systems, spreadsheets, and databases.
  • Event and Donation Processing: Process online event and donation activity, and send out reconciliations to staff, ensuring receipts are submitted and entered into the accounting system.
  • Staff Support: Act as a resource for staff for accounting questions, such as codes, process, etc.
Requirements
  • Education: Two-year college degree in business or accounting, or equivalent professional experience.
  • Knowledge and Skills: Knowledge of accrual accounting guidelines, internal control procedures, and accounting best practices (GAAP); proficiency with general office applications, such as Microsoft Office Suite and Google Business Suit, as well as experience with accounting systems.
  • Personal Qualities: Team player with the ability to work in a fast-paced, complicated environment with minimal supervision; excellent organizing and planning skills with attention to detail; excellent oral and written communication skills.
  • Physical Demands: Ability to walk frequently, stand for extended periods, climb, push, lift (up to 30 lbs), stoop, carry equipment and materials.
  • Representative: Represent BIMA to the public and all stakeholders in a positive and professional manner, providing outstanding service to all clients.
