Job Overview

Position Summary: As a Catering Operations Coordinator, you will manage responsibilities related to sales, administration, and coordination for both on-site and off-site catering events. This role requires exceptional attention to detail and communication skills, along with the ability to juggle multiple projects simultaneously while ensuring accurate dissemination of essential information to all departments, clients, and vendors.

Key Responsibilities:

  • Maintain and input all reservation data for events, including inquiries, tentative, and confirmed bookings. Detail function sheets with necessary equipment and rental orders.
  • Prepare captain's packets for each event, including staff sheets, equipment pulls, beverage pulls, signage, and expo sheets, ensuring captains receive their packets.
  • Create buffet signage and printed menus as needed for each event.
  • Organize and maintain event files, including all correspondence, orders, invoices, payments, proposals, and function sheets.
  • Process requests for certificates of insurance.
  • Gather inquiries, including all relevant event details such as client contact, date, time, format, guest count, and location.
  • Draft proposals for events and submit staffing requests.
  • Support sales initiatives through research, marketing collaboration, and communication.
  • Collaborate with the marketing team on promotional materials.
  • Assist clients with venue walkthroughs and provide on-site sales representation during scheduled events.
  • Receive and process all deposits.
  • Review financial entries to ensure accurate forecasting and communicate with accounting as needed.
  • Prepare final event invoices and monthly expense reports.
  • Assist in scheduling meetings, appointments, and travel arrangements.
  • Perform additional duties as assigned.

Qualifications:

  • Experience in catering, dining, or event management.
  • Background in restaurants, hotels, corporate dining, education, military, healthcare, or related food service operations.
  • Ability to work a flexible schedule based on business needs.
  • Strong communication, customer service, and organizational skills.
  • Proficient in computer applications, including MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Bachelor's degree in Hospitality or Marketing is preferred.
