As a vital member of the Programs department, the Program Operations Assistant for Child Welfare will collaborate closely with the Program Manager to enhance the quality of services provided to unaccompanied minors and refugee youth. Key Responsibilities

  • Assist the Foster Care team in monitoring program quality and implementing quality assessment tools.
  • Conduct data entry tasks, including the creation and auditing of electronic case files.
  • Upload referral documents into the LIRS database and ensure compliance with programmatic outcomes.
  • Support various program communication processes, including memos, network communications, and informational materials.
  • Maintain accurate contact lists and update information in databases.
  • Coordinate monthly and periodic meetings with partners.
  • Manage the training schedule for the network and track participant experiences.
  • Assist with preparation for headquarters monitoring, including collecting memos and training plans.
  • Provide administrative support for funding proposals and other assigned tasks.

Qualifications

  • A Bachelor's Degree or equivalent combination of education and experience, with a minimum age of 21.
  • Preferred experience in administrative and data entry support.
  • Proficiency in web communication tools such as Teams and Zoom.
  • Experience in a nonprofit setting is preferred.
  • Strong written and verbal communication skills.
  • Ability to manage and prioritize multiple projects in a fast-paced environment.
  • Experience in system process creation and project tracking is preferred.
  • Proficiency in Microsoft Office Suite: Outlook, Excel, Word, and PowerPoint.
  • Bilingual in Spanish and English is preferred.
  • Willingness to travel to various sites and attend relevant conferences, up to 10% of the time.
