Key Responsibilities:
  • Team Leadership: Train team members on projects that may vary depending on clients' requirements and Service Level Agreements (SLAs).
  • Indexing and Quality Control: Ensure accurate and timely completion of indexing tasks, and provide guidance and support to team members on quality control and indexing procedures.
  • Client Support: Assist the Site Manager in investigating client-related errors and root cause analysis.
  • Process Improvement: Support special projects and initiatives to improve processes and procedures.
Job Duties and Responsibilities:
  • Training and Development: Train team members on projects that may vary depending on clients' requirements and SLAs.
  • Indexing and Quality Control: Ensure accurate and timely completion of indexing tasks.
  • Guidance and Support: Provide guidance and support to team members on quality control and indexing procedures.
  • Client Instructions: Ensure client instructions are handed out and old instructions are collected and destroyed.
  • Quality Control Efficiency: Demonstrate QC efficiency and ensure accuracy for each client.
  • Workload Management: Ensure each team member maintains a workload capacity that is maximized.
  • Knowledge of QC Process: Demonstrate knowledge of QC process.
  • Team Support: Answer questions from team members.
  • Customer Satisfaction: Achieve customer satisfaction by consistently indexing documents accurately.
  • Meet Deadlines: Meet deadlines by working at a quick and steady pace while maintaining quality and error-free work.
  • Time Productivity: Achieve Time Productive statistics by meeting standards established by the facility.
  • Company Production Standards: Meet company production standards by achieving the Indexing per Hour (IPH) rate in accordance with standards established.
  • Maintenance of Machine Performance: Maintain optimal machine performance by correcting simple machine problems and having a working knowledge of machine codes.
  • Paperwork: Complete all paperwork in a timely, accurate, and legible manner.
  • Troubleshooting: Troubleshoot problems by communicating effectively and promptly to management.
  • Error Prevention: Prevent indexing errors by maintaining an organized workstation.
  • Customer Satisfaction: Satisfy customers by providing error-free work.
  • Standard Operating Practices: Participate as a contributor of standard operating practices and site procedure guide documentations.
  • Quality Control Items per Hour: Meet company production standards by achieving the Quality Control items per hour rate in accordance with established company standards.
  • Flexibility: Perform indexing tasks in accordance with business needs by being flexible.
  • Customer Communication: Maintain internal and external customer satisfaction by communicating in a professional manner.
  • Reporting Requirements: Comply with reporting requirements by completing all required paperwork.
  • Scan to File: Demonstrate the skill set for scan to file to include quality control, e-labeling, file folder naming, and bates capture.
  • Meet Deadlines: Meet deadlines by working at a quick and steady pace while maintaining quality and error-free work.
  • Problem Communication: Communicate problems effectively and promptly to management.
  • Additional Duties: Perform other duties as required.
Qualifications:
  • Office Indexing and Collating: Office indexing, collating, and extreme attention to detail.
  • Typing Skills: Typing skills.
  • Basic PC Skills: Basic PC skills.
  • English Language Skills: Knowledge of reading and writing English for business purposes.
  • Leadership Experience: Experience leading small teams is a plus.
  • Indexing Experience: Experience indexing documents is a plus.
