Job Summary

We are seeking a highly skilled and ambitious Financial Operations Manager to join our team. As a key member of our financial operations team, you will oversee financial operations, mentor staff, and ensure compliance and accuracy in reporting.

Key Responsibilities
  • Coordinate and communicate with the Controller to develop department goals and prioritize projects.
  • Closely coordinate with other department leaders to ensure responsibilities are clearly understood and stated goals are being met.
  • Identify opportunities for efficiencies, and in partnership with other departments, streamline workflows to maximize productivity while focusing on desired outcomes.
  • Effectively communicate and interact with various levels of management and external stakeholders.
  • Coordinate activities among all Morgan Stephens departments, to include Property Management, Compliance, National Maintenance, Acquisitions, Asset Management, and Technology.
  • Ensure staff have the resources necessary for successful performance of their duties.
  • Oversee, train, and troubleshoot the various software used for AR, AP, and financial reporting activity. To include exploring additional functions, features, and improvements that can be adopted.
  • Develop, implement, and maintain all procedures and policies related to property management accounting functions.
  • At direction of the Controller, establish and manage national accounts and services that agree with our overall strategic direction for vendor and banking relationships.
  • Coordinate planning and filing of annual financial audits, including HUD and tax credit investor reporting.
  • Implement recommendations for process improvements based on audit findings.
  • Validate financial data and present financial reports in an accurate and timely manner to senior management, HUD, and/or other industry partners as needed.
  • Ensure timely and accurate processing of invoices, payments, and tenant billings in compliance with internal control and approvals procedures.
  • Monitor property cash flow, coordinating with the Controller and other departments to resolve identified challenges and ensure compliance with cash plans.
  • Work with other departments to obtain necessary information and ensure a proper recording and onboarding of any new acquisitions or loans.
  • Understand and abide by HUD and other business partner financial and compliance guidelines.
  • Understand and oversee macro workings of property management system (Yardi) and ensure that all ledgers and financial statements are reporting accurate information.
  • Perform monthly and year-end closing procedures.
  • Properly store records and reports in designated electronic file management systems.
  • Work with external partners and internal tax teams to ensure timely completion and filing of income tax returns.
  • Maintain vigilance for any potential fraud and/or noncompliance with company and government guidelines.
  • Maintain financial controls and procedures to safeguard company assets, immediately reporting any suspected fraud or internal control deficiency to the Controller, CFO, or other company executive.
  • Develop department staffing plans. To include current and future resource allocation.
  • Assist the Controller in preparation of the department budget.
  • Hire, train, supervise, and mentor accounting staff, providing ongoing guidance and support as needed.
  • Prepare/conduct annual performance reviews.
