About the Role:

This role provides confidential and complex support to a division manager or full-time elected official. The successful candidate will perform a variety of duties including typing, filing, bookkeeping, and processing forms. They will also compose, type, and proofread reports, letters, memos, and charts, as well as research, compile, and analyze data for various projects and reports.

Key Responsibilities:

  • Perform various clerical duties of a complex nature, including typing, filing, bookkeeping, and processing forms
  • Compose, type, and proofread reports, letters, memos, and charts
  • Research, compile, and analyze data for various projects and reports
  • Take and transcribe dictation, take verbatim and sense minutes of meetings, and prepare official minutes
  • Oversee maintenance of division records and files
  • Assist the public and respond to program and procedural inquiries
  • Coordinate and arrange meetings
  • Operate calculator, word processor, and other office equipment
  • May operate radio equipment and a computer terminal to enter, modify, or retrieve data
  • Assist in the preparation and administration of the division budget
  • Supervise, train, and evaluate employees
  • Implement and assist in developing policies and procedures related to assigned function
  • May serve as office manager

Requirements:

  • Three years of recent secretarial or cleric work, including one year in a responsible supervisory or specialized capacity
  • High school graduation or equivalent
  • Valid California Class "C" driver's license or equivalent
  • Able to type accurately from clear copy at a speed of 50 net words per minute
  • Able to take shorthand/stenotype dictation at a speed of 90 words a minute or transcribe from dictation equipment accurately and quickly
