SUMMARY

Under the guidance of the Chief Operating Officer, the Front Desk Supervisor oversees all aspects of the front office operations. This includes managing the patient appointment system, cashiering functions, and coordinating front desk personnel. Proficiency in billing and coding is essential, and bilingual capabilities in Spanish and English are required.

RESPONSIBILITIES

The following responsibilities are illustrative and not exhaustive:

  • Supervise and schedule all front office staff, managing resources such as the patient reception area and appointment scheduling.
  • Ensure patients are scheduled according to established protocols for provider availability.
  • Maintain confidentiality of patient demographics and financial information, ensuring the highest standards of privacy.
  • Welcome and greet patients in a courteous and professional manner.
  • Coordinate scheduling of physicians and providers in accordance with established protocols.
  • Generate daily, weekly, and monthly reports summarizing patient activity by provider, along with demographic data and appointment statistics.
  • Develop and update procedural manuals for appointments, cashiering, and other front office tasks.
  • Ensure proper maintenance of the multi-user computer system in line with COO guidelines and sound business practices.
  • Perform cashiering duties, including preparation of daily collection records and deposit slips.
  • Execute other assigned duties as necessary.

KEY PERFORMANCE INDICATORS

  • Provider satisfaction.
  • Patient satisfaction.
  • Exemplary customer service.
  • Compliance with attendance policies.
  • Timely completion of assigned tasks.

QUALIFICATIONS

Applicants must possess a bachelor's degree in business or a related field, along with one year of managerial experience. Experience in Medical Billing is required. Candidates should be adept in using automated data systems, spreadsheets, and scheduling techniques. Proven leadership skills, teamwork, integrity, and customer service abilities are essential. Excellent organizational and communication skills (both verbal and written) are mandatory. Bilingual proficiency in Spanish and English is required.

WORKING CONDITIONS

This position is hourly and governed by the Fair Labor Standards Act. The Front Desk Supervisor is expected to maintain a scheduled 40-hour workweek from Monday through Friday, 8:00 AM - 5:00 PM.
