Highlight is looking for a dedicated full-time Junior Program Coordinator to assist in the operations of our Bureau for Planning, Learning, and Resource Management (PLR). This bureau is pivotal in shaping policy strategies that support our global development and humanitarian initiatives, aligning with broader national security and foreign policy goals. Your role will encompass a variety of tasks including daily operational support, drafting official communications, organizing meetings, and providing assistance to the leadership team.

This position necessitates an on-site presence three days a week.

Key Responsibilities

Deliver comprehensive administrative support to the Director and Deputy Director, which involves effective calendar management, preparation of meeting documents, logistical coordination for meetings, and other administrative tasks as required. Draft and edit correspondence, reports, recommendations, and memoranda. Conduct research and analysis, producing concise reports on topics related to ongoing or upcoming programs. Take notes during meetings, draft minutes, and ensure their distribution. Manage responses to inquiries from the Front Office and other departments. Ensure that all briefings and necessary clearances are completed and submitted promptly. Facilitate communication with both internal and external stakeholders, ensuring clarity in both verbal and written formats. Assist staff in their communications with various stakeholders through written correspondence. Review, assign, and track a variety of technical documents. Maintain an organized electronic filing system for shared documents. Implement administrative policies, manage various systems and databases, and address other staff needs. Oversee travel authorization processes for office leaders, including necessary clearances, travel approvals, visa arrangements, and voucher preparations, while also advising other staff on travel protocols. Monitor administrative tasks such as payroll, attendance records, and deadlines. Provide guidance to managers and employees regarding administrative services. Collaborate with other departments within the organization when tasks require a joint effort. Undertake additional duties and special projects as assigned. Required Qualifications

Active Secret clearance. US Citizenship is mandatory. A Bachelor's degree is required. A minimum of two years of experience in a related role.
