Job Title: Inventory Admin

Job Summary:

The Inventory Admin will be responsible for providing administrative support to the Lab Operations team, focusing on inventory management, purchasing, and equipment tracking. This role requires a detail-oriented individual with excellent organizational skills and the ability to work independently as part of a larger team.

Key Responsibilities:
  • Manage lab purchases and shipping requests, including invoices and vendor communication.
  • Maintain purchasing information files and records, and register new vendors.
  • Request quotations for comparison and price negotiation with vendors, and prepare necessary documents for order requests.
  • Actively follow up on PO status and delivery schedules, and receive new orders for tracking purposes.
  • Maintain Confluence space for group documentation, including HR, Legal, and Project-related information.
  • Provide administrative support to the lead and management of the lab, including HR tasks, employee relations, and team events.
  • Collaborate with Finance and Accounting for invoicing and payment processing.
  • Drive physical audits and perform regular inventory management and support.
  • Prepare and coordinate incoming shipments, comparing packing lists with purchase details.
Requirements:
  • Hands-on, self-starter with multiple task management experience in a team environment.
  • Five years of purchasing and inventory management experience.
  • Administrative experience and solid spreadsheet skills.
  • Ability to effectively communicate verbally and in writing with technical and non-technical personnel.
  • Strong technical analytical and problem-solving skills.
  • Ability to complete tasks and deliverables within expected timelines.
  • Excellent organizational skills, strong attention to detail, and willingness to learn and follow procedures.
  • Able to work independently as part of a larger team in a global organization.
  • Able to multitask in high-pressure situations and take ownership of projects and tasks.
Education:
  • High School diploma or equivalent.
  • 2-year technical degree or equivalent work experience highly preferred.
