POSITION SUMMARY:

As a Receptionist, your main responsibility will be overseeing the daily operations of the front desk team.

Your role will include ensuring that all team members provide a warm welcome to clients and visitors, manage incoming calls, and perform various administrative tasks efficiently.

KEY RESPONSIBILITIES INCLUDE:

  • Greet clients as they arrive or call, providing information about available services, payment options, and billing processes.
  • Schedule appointments and direct clients according to established protocols.
  • Handle all incoming calls and direct them to the appropriate personnel.
  • Register clients according to procedures and gather necessary documentation.
  • Prepare required documents for each client and ensure completeness.
  • Verify client insurance coverage and calculate applicable charges.
  • Collect deposits or co-pays prior to service delivery.
  • Inform clients of outstanding balances and process payments.
  • Collaborate with clinical staff to ensure smooth client flow and minimize wait times.
  • Remind clients of upcoming appointments.
  • Follow up with clients who miss appointments.
  • Communicate any client concerns to the management team.
  • Maintain strong sensory skills, including visual acuity and good hearing.
  • Ability to stand, sit, and move throughout the workday.
  • Work closely with management to address clients who missed appointments.
  • Exhibit strong communication skills, both verbal and written.
  • Proficient in computer usage and Microsoft Office applications.
  • Familiarity with community resources.
  • Support and promote the mission of DNA Comprehensive Therapy Services.
  • Bilingual candidates, especially those fluent in Spanish, are preferred.

ADDITIONAL REQUIREMENTS:

  • Friendly demeanor with a passion for customer service.
  • Ability to treat all clients with kindness and respect, even in challenging situations.
  • Capability to manage multiple tasks effectively.
  • Adaptability to a fast-paced office environment.
  • Ability to lift and carry up to 15 lbs.
  • Attention to detail in all tasks.
  • Proficient in operating office equipment, including computers and phones, with a typing speed of at least 35 wpm.
  • Ability to interact positively with clients through various communication channels.
  • Understanding of medical terminology and triage processes.
  • Respect for diversity and ability to connect with clients from various backgrounds.
  • Strong problem-solving and communication skills.
  • Commitment to dignified healthcare for all.

EDUCATION AND EXPERIENCE:

  • High school diploma or GED.
  • Relevant vocational training is a plus.
  • At least one year of experience in a similar healthcare setting.
