Job Summary

Under the guidance of the Controller, the Payroll and Accounting Specialist will be responsible for maintaining the payroll accounting sub-system, time keeping records, reports, and forms related to payroll. This role will also assist with banking transactions.

Essential Functions
  1. Gather all approved time and attendance reports, exception timesheets, and any additional pay documentation required to process bi-weekly payroll.
  2. Process payroll biweekly and complete extra runs when necessary.
  3. Prepare and process all payroll tax-related payments and payroll reports in accordance with regulatory guidelines and deadlines.
  4. Prepare and distribute W2s for employees.
  5. Complete payroll-related General Ledger journal entries timely.
  6. Work closely with human resources to ensure employee information is updated timely and accurately.
  7. Provide back-up coverage for the Accounts Payable Specialist and Staff Accountant.
  8. Transmit checks through Remote Deposit Capture on a daily basis and prepare bank deposits for any cash receipts.
  9. Reconcile Daily Cash Journal to bank and credit card system reports.
  10. Identify and communicate potential areas of improvement.
  11. Participate in process improvement projects as required.
  12. Act as Subject Matter Expert in areas related to Payroll.

Minimum Job Requirements

To be successful in this role, you will need:

  • An Associate's degree in accounting, Business, Business Management, or equivalent experience.
  • Three (3) years of Payroll experience is preferred.
  • Experience with UKG is preferred.

You will also need:

  • Ability to use personal computer for word processing, data entry, and automated time systems.
  • Experience with MS Office (Word, Outlook) is required.
  • Advanced experience with MS Excel is required.
  • Attention to detail and accuracy regarding time and organizational management.
  • Ability to foster and maintain positive working relationships with staff and management.
