Position Title: Administrative Support Specialist

Overview:

This role is integral to the operations of the Child Development and Family Support Programs (CDFS). The position offers a 5% bilingual differential for candidates with language skills that align with departmental and community needs. The Administrative Support Specialist ensures that all program activities are conducted efficiently and effectively, providing essential support to families and staff.

Key Responsibilities:

  1. Manage a multi-line phone system, directing inquiries to the appropriate personnel.
  2. Welcome and assist families and visitors to the program.
  3. Process applications for Head Start and Early Head Start programs, ensuring compliance with established standards and regulations.
  4. Perform routine office tasks such as copying, scanning, collating, and mailing.
  5. Handle incoming and outgoing mail, ensuring proper routing.
  6. Monitor and maintain inventory levels of office supplies, placing orders as necessary.
  7. Organize and update program policies, procedures, and documentation in both electronic and printed formats.
  8. Create and design promotional materials, letters, and other necessary documents.
  9. Support management with various project-related tasks as needed.

This position operates under limited supervision and contributes to the overall success of the program.
