The Plant Administrator plays a crucial role in managing a combination of administrative and human resources functions that facilitate plant operations through effective documentation, process oversight, and communication. Key responsibilities encompass assisting employees and temporary staff, maintaining records, coordinating schedules, and supporting compliance efforts, all of which enhance the overall productivity and effectiveness of our operations.


Key Responsibilities:


1. Foster a productive and welcoming facility environment

  • Coordinate logistics and scheduling for external vendors, clients, and other visitors, ensuring adherence to safety and quality protocols.
  • Assist in planning, organizing, and executing company events and meetings to promote goodwill, employee recognition, and engagement.
  • Oversee office supplies, IT equipment, and mail management to ensure seamless operations. Collaborate with IT support to proactively address issues.

2. Manage security and timekeeping systems

  • Act as the administrator for the facility's security system, overseeing badge issuance for staff and contractors.
  • Provide guidance and support to employees and temporary staff regarding badge access, timekeeping procedures, and equipment troubleshooting.
  • Train supervisors and new hires on timekeeping protocols and issue resolution.
  • Oversee the work uniform program and serve as the primary contact for the associated vendor.

3. Support employee safety initiatives

  • Under the direction of the HR Manager, maintain records of safety incidents and ensure appropriate follow-up on outstanding items.
  • Collaborate with Environmental Health & Safety (EH&S) on incident follow-ups, monthly reporting, and OSHA record maintenance.
  • Provide data and assistance for safety programs and initiatives.
  • Offer hands-on support for Safety Steering Team and Safety Committee activities.

4. Assist with recruitment, onboarding, and training

  • Support the recruitment process for both regular and temporary staff through communication with staffing agencies and hiring managers.
  • Process onboarding and offboarding transactions in relevant systems to ensure a smooth transition for temporary employees.
  • Help organize and facilitate new hire orientation to provide a comprehensive and welcoming onboarding experience.
  • Prepare workstations for new employees and order necessary supplies.

5. Administrative support and communication

  • Manage daily sorting of interoffice and postal mail.
  • Maintain employee records by creating new hire files and managing document retention.
  • Disseminate communications via text and email regarding company and HR-related events.
  • Ensure that employee communications on bulletin boards and internal systems are current and accurate.

6. Additional duties as assigned.


Qualifications and Skills:

  • 2-4 years of experience in an administrative role within a manufacturing environment is required.
  • A High School diploma is mandatory.
  • Proficiency in Spanish and fluency in English is preferred due to the diverse workforce.

Knowledge and Skills:

  • Ability to manage multiple priorities in a dynamic manufacturing setting.
  • Strong organizational skills and the ability to handle various processes simultaneously. Problem-solving skills are essential.
  • Capability to build relationships with employees at all levels. Excellent interpersonal communication skills are required, along with a keen attention to detail and a customer service orientation.

Technical Proficiencies:

  • Proficient in Microsoft Windows and Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with HRIS software, such as UKG, is advantageous.
  • Ability to maintain accuracy and attention to detail.
  • Basic math skills for creating reports and queries.

Work Requirements:

  • This role may require extended hours based on business needs and customer demands. Reliable transportation is necessary. The position involves meeting tight deadlines and may require occasional travel between facilities.
