The Plant Administrator plays a crucial role in managing a variety of administrative and human resources functions that facilitate plant operations through effective documentation, process oversight, and communication. Key responsibilities include supporting staff, maintaining records, coordinating schedules, and assisting with compliance issues, all aimed at enhancing the productivity and efficiency of plant activities. This full-time position will report to the HR manager and primarily operate within our main production facility.
Key Responsibilities:
1. Foster a productive and welcoming workplace environment
- Coordinate schedules and logistics for external visitors, ensuring adherence to safety and quality protocols.
- Assist in planning and executing company events and meetings to promote goodwill and employee engagement.
- Manage office supplies and IT resources to ensure seamless operations, collaborating with IT support to address any issues.
2. Manage security and attendance systems
- Oversee the facility's security system and manage the issuance of identification badges for staff and contractors.
- Provide guidance and support to employees regarding timekeeping procedures and equipment issues.
- Train supervisors and new hires on timekeeping and related processes.
- Oversee the work uniform program and liaise with the vendor.
3. Contribute to employee safety initiatives
- Maintain records of safety incidents and ensure timely follow-up on outstanding issues.
- Collaborate with Environmental Health & Safety on incident reporting and compliance documentation.
- Support safety programs and initiatives with relevant data and assistance.
- Engage with the Safety Steering Team and Safety Committee.
4. Assist with recruitment and onboarding
- Support the hiring process for both permanent and temporary staff through effective communication with staffing agencies and managers.
- Facilitate onboarding processes for new employees, ensuring they receive necessary information and support.
- Organize new hire orientation sessions to provide a comprehensive introduction to the company.
- Prepare workstations and order supplies for new employees as needed.
5. Administrative support and communication
- Handle daily sorting of interoffice and postal mail.
- Maintain employee records by creating and organizing files.
- Disseminate information regarding company and HR events through various communication channels.
- Ensure that employee communications are current and accessible.
6. Perform additional duties as assigned.
Qualifications and Skills:
- 2-4 years of experience in an administrative role within a manufacturing environment is preferred.
- A High School diploma is required.
- Proficiency in English is essential, with Spanish language skills being highly desirable.
Knowledge and Skills:
- Ability to manage multiple tasks in a fast-paced manufacturing setting.
- Strong organizational skills and problem-solving abilities.
- Effective interpersonal communication skills are essential for building relationships across all levels.
- Attention to detail and a strong customer service orientation are critical.
Technical Proficiencies:
- Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
- Experience with HRIS software, such as UKG, is a plus.
- Ability to perform basic mathematical calculations for reporting purposes.
