Job Title: Office Admin Assistant

Job Summary:

We are seeking a highly organized and friendly individual to join our team as a Receptionist. In this role, you will be the first point of contact for our company, providing professional and courteous service to our visitors and support to our staff. You will play a key role in maintaining an efficient and welcoming office environment in a fast-paced construction setting.

Key Responsibilities:

  • Greet visitors and direct them to the appropriate parties.
  • Handle incoming calls and manage the company switchboard.
  • Provide information to callers about company services and projects.
  • Manage meeting room bookings and organize conference spaces as needed.
  • Assist in scheduling appointments and updating the company calendar.
  • Handle mail distribution and manage outgoing posts.
  • Maintain a tidy and efficient reception area and meeting rooms.
  • Provide administrative support to various departments, including document preparation, filing, and data entry as needed.
  • Assist with inventory management of office supplies and place orders when necessary.
  • Liaise with contractors, suppliers, and clients to support company operations.

Qualifications:

  • High school diploma or equivalent; further education or certification in office administration is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent communication and organizational skills.
  • Ability to handle multiple tasks and prioritize workload effectively.
  • Knowledge of administrative and clerical procedures.
  • Familiarity with the construction industry and its terminology is preferred.
  • Professional attitude and appearance.
  • Strong customer service orientation with the ability to interact with people at all levels.
