Position: Executive Assistant | Contractor Part-Time

Role Summary

Spark Advisors is seeking a skilled Executive Assistant to provide support to the Chief Executive Officer and Chief Product Officer. This role involves managing intricate schedules, organizing travel, and overseeing company meetings. The ideal candidate will have a proven track record of supporting multiple executives, possess exceptional organizational abilities, and excel at navigating complex scheduling challenges.

This position will initially be a contractor role at 20 hours per week, with the possibility of transitioning to full-time.

Key Responsibilities
  • Deliver comprehensive administrative assistance to the CEO and CPO, including calendar management, meeting scheduling, and travel coordination.
  • Act as the primary liaison for internal and external communications on behalf of the executives, which includes drafting and refining correspondence and presentations.
  • Prepare for meetings by organizing necessary documents, creating agendas, and documenting minutes while ensuring follow-up recaps are sent.
  • Maintain accurate and accessible documentation for company-wide and significant meetings.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Foster and maintain positive relationships with key stakeholders, clients, and partners.
  • Oversee employee recognition initiatives, including birthday gifts and anniversary acknowledgments.
Qualifications and Skills
  • Demonstrated experience as an Executive Assistant or in a comparable administrative role, ideally supporting multiple executives.
  • Exceptional organizational and time-management skills with the ability to prioritize effectively.
  • Proven expertise in arranging travel logistics.
  • Strong verbal and written communication abilities.
  • High degree of discretion and professionalism in managing confidential information.
  • Self-motivated with the ability to work independently.
  • Excellent problem-solving skills and meticulous attention to detail.
  • Availability to work Eastern Time Zone hours as required.
Preferred Qualifications
  • Proficiency in Google Suite.

Base Salary: $40—$60 USD
