Job Overview

In the Oakland Unified School District, we are seeking a skilled Office Administrator III to support our bilingual programs. This role is responsible for providing administrative assistance in an assigned area, requiring excellent communication skills and independent judgment.

About the Role

The successful candidate will be fluent in oral and written communication in the target language and possess a strong understanding of specialized record-keeping techniques, proficient office procedures, computers, and other office equipment. The ideal candidate will have a proven ability to work cooperatively with others, meet District standards of professional attitude, and work independently with minimal direction.

Key Responsibilities
  • Coordinate communications, obtain and provide information, coordinate activities, and resolve issues and complaints.
  • Independently compose correspondence in English and maintain records, analyze situations, and take appropriate action.
  • Schedule meetings, conferences, and appointments, maintain calendars, reserve meeting sites, make travel arrangements, contact and confirm appointments and meetings, attend meetings, take minutes as necessary, prepare minutes, and summaries of action taken.
  • Process administrative details not requiring immediate administrator attention, research, analyze, review, correct, and compile various information, verify data accuracy, completeness, and compliance with established procedures.
  • Prepare and maintain various records, logs, and files, including confidential information, maintain confidentiality, operate a computer to enter, update, and access various records and information into various software programs, operate telephone systems, and other office equipment.
  • Assign and direct the work of other employees as required, attend job-related meetings as assigned, and perform related duties as needed.
Additional Responsibilities (Administrative Assistant III)
  • Perform highly responsible, proficient, and complex administrative and office functions, requiring advanced initiative, organizational skills, technical problem-solving skills, and independent judgment, maintain office records, execute administrative policies.
  • Assume primary responsibility for implementing designated activities and operations of the department, identify, plan, and implement office administrative procedures and policies as directed.
  • Complete primary clerical assignments where knowledge, judgment, and discretion are critical, prepare reports and presentations using various technology and programs as assigned.
  • Research and facilitate inquiries, refer inquiries to appropriate sources for consideration and action, coordinate, analyze, and organize office staff, operations, and procedures.
  • Receive, process, facilitate, and disseminate information between school sites/departments and the general public, maintain confidentiality of sensitive information, ensure timely responses as necessary, monitor and record staff attendance, prepare school site/department attendance reports for payroll.
  • Assist in monitoring the school site/department budget, prepare purchase requisitions, maintain equipment inventory, order equipment and other supplies, resolve invoice discrepancies, initiate, prepare, and submit budget revisions and corrections.
  • Utilize personal and network computers for word processing, school site/departmental budget management, database management, and systems applications.
Requirements
  • Associate's Degree or equivalent education/experience.
  • Two years of relevant experience for Administrative Assistant I, four years for Administrative Assistant II, and six years for Administrative Assistant III.
  • Fluent in oral and written communication in the target language.
  • District's test with 70% passing rate for Administrative Assistant I, 85% for Administrative Assistant II, and 90% for Administrative Assistant III, basic accounting, and pass District's bilingual test in designated language.
  • Valid California Driver's License, employment eligibility including fingerprints, tuberculosis, and/or other employment clearance.
Estimated Salary:

$60,000 - $80,000 per year, depending on qualifications and experience.
