Job Summary

The Administrative Associate 3 plays a crucial role in managing and coordinating administrative activities to achieve the primary goals of the faculty in the Department of Physiology at the University of Tennessee. This position serves as a backup to provide complex and confidential support to the Chairman of the Department, faculty, staff, and customers of the department.

Key Responsibilities
  • Coordinate activities related to the initial search, evaluation, selection, and hiring of new faculty.
  • Collect and compile application packets, verify and obtain credentialing and licensure information, and assemble information for search committee review.
  • Process accounts payable and receivables, including procurement card purchasing and reconciliation.
  • Prepare reappointment letters and submit necessary paperwork.
  • Submit letters of recommendation and required documentation for promotion.
  • Procure supplies and materials to maintain the availability of required items for offices and multiple research laboratories according to UT policies and procedures.
  • Order, enter purchase orders, receive, and track items.
  • Coordinate with the Basic Science Administration's accounting staff to ensure all invoices are paid promptly.
  • Assist with the annual space survey and equipment inventory processes.
  • Collect biweekly and monthly leave reports; enter time into IRIS.
  • Maintain details (travel, itineraries, etc...) of each seminar speaker.
Qualifications

MINIMUM REQUIREMENTS:

  • High School Diploma or GED. (Associates Degree preferred).
  • Four (4) years of administrative support experience; OR Associate's Degree and two (2) years of administrative support experience; OR Bachelor's Degree in lieu of experience. (Experience in medical or university setting.)

  • Excellent written and oral communication skills.
  • Ability to maintain confidentiality and make sound and good decisions.
  • Ability to work independently and collaboratively.
  • Excellent computer experience (Office Suite) and command of various software programs.
