Job Overview

Position Title – Accounting Specialist


OBJECTIVE & RESPONSIBILITIES

Reporting directly to the Controller, the Accounting Specialist is tasked with various daily financial operations. This includes, but is not limited to, the assessment of vendor accounts, management of accounts payable, oversight of receivables, and the preparation and analysis of financial documentation and reports as required. The Accounting Specialist will also oversee external accounts and foster relationships on behalf of the organization. Success in this role demands effective collaboration with colleagues across different departments. The individual will work closely within the finance team and may lead projects that necessitate advanced Excel skills, comprehensive accounting knowledge, and the capability to mentor other team members as necessary.

Key Duties & Responsibilities

The responsibilities of this role may encompass, but are not limited to:

  • Assigning expenses to accounts through invoice analysis.
  • Ensuring timely and accurate payments to vendors.
  • Verifying vendor accounts by reconciling monthly statements.
  • Confirming processed work by validating entries and balances.
  • Handling monthly mortgage processing and ensuring timely mailings.
  • Investigating issues under the guidance of the immediate supervisor as needed.
  • Complying with policies and procedures while maintaining effective internal controls.
  • Collaborating as a team member to evaluate and resolve discrepancies.
  • Executing additional tasks as assigned.
  • Recording transactions and categorizing entries in the general ledger (e.g., by assets, liabilities, and expenses).
  • Reconciling bank statements.
  • Preparing documentation for audits.
  • Maintaining and updating financial records and files.
  • Performing other duties as required.


Qualifications

  • AA/BA in Accounting or Business preferred.
  • Familiarity with generally accepted accounting principles.
  • Exceptional verbal and written communication skills, along with strong listening abilities.
  • Outstanding customer service skills and effective communication.
  • Strong analytical and problem-solving capabilities.
  • Excellent organizational skills with the ability to multitask efficiently and independently.
  • Strong interpersonal skills, with the ability to engage positively and productively with colleagues.
  • Reliable, punctual, and dependable, demonstrating a strong work ethic.
  • Proficient typing and data entry skills.
  • Ability to accurately use a 10-key calculator by touch.
  • Proficiency in QuickBooks, Excel, Word, Outlook, Access, and/or SQL.

Physical Requirements

  • Involves general office work, typically requiring extended periods of sitting and/or computer operation.
  • May require periods of standing, such as operating a copier/fax/scanner.
  • Involves movement between departments and properties to facilitate work.
  • May require conducting tours throughout the property/portfolio, usually performed by walking and/or climbing stairs.
  • Regularly required to communicate verbally and utilize hands and fingers for writing and typing.
  • Ability to read and comprehend information and ideas presented orally and in writing.
  • Ability to convey information and ideas effectively in writing and orally.
  • Regularly required to utilize vision abilities for reading printed material, graphics, computer displays, and physical inspections.
  • Ability to lift up to 25 pounds occasionally.
