Job Summary

We are seeking a highly skilled Senior Specialist, Accounts Payable to join our team at QPS. As a key member of our finance department, you will be responsible for managing the day-to-day activities of the Accounts Payable team, ensuring timely and accurate processing of invoices and payments.

Key Responsibilities
  • Lead the AP month-end close process, preparing monthly liability accruals and miscellaneous schedules.
  • Create and maintain vendor master records with correct approvals.
  • Process vendor transactions, including invoices and credit memos, and file supporting documentation.
  • Match invoices and purchase orders to receiving documents, ensuring accuracy and compliance with company policies.
  • Review invoices and expense reports for proper documentation, accuracy, and approval prior to payment.
  • Manage the AP inbox, filing transactions as necessary, and respond to vendor inquiries regarding payment status.
  • Participate in vendor meetings and process pass-through costs in collaboration with the A/R department.
  • Purchase kitchen and office supplies using cost containment strategies.
  • Track delivered packages, secure backup documents, and contact recipients.
  • Order Federal Express supplies and create online waybills for outgoing shipments.
  • Process outgoing mail, including adding postage.
  • Back up the reception desk as needed, answering phones, admitting visitors, and sorting mail.
Requirements
  • Combination of relevant education and experience, including a university degree in Accounting, Finance, or Business Administration.
  • Four or more years of experience processing high-volume complex invoices, preferred.
