Position Summary:
The Patient Services Coordinator serves as the initial point of contact for both existing and prospective patients. This role is crucial in managing patient inquiries, scheduling appointments, and fostering a positive customer experience.
Key Responsibilities:
- Responding to incoming calls and arranging patient appointments.
- Managing a substantial volume of inbound and outbound calls while striving to create a positive interaction with each caller.
- Reporting any customer complaints to management.
- Documenting all interactions with patients in our Electronic Medical Records (EMR) system.
- Processing payments over the phone.
- Verifying and updating patient information during the scheduling process.
- Regularly checking voicemails and returning calls to patients promptly.
- Conducting research to provide accurate answers to customer inquiries.
- Collaborating with the practice management team to ensure precise scheduling.
- Handling challenging situations with professionalism.
- Managing incoming and outgoing referrals.
- Adhering to HIPAA regulations.
- Performing additional duties as assigned.
Qualifications:
- High School Diploma or GED is required.
- 1-3 years of experience in a medical office setting.
- Proficient computer skills, including basic competency in Excel and email, along with strong typing abilities.
- Excellent verbal, listening, and written communication skills in English; proficiency in Spanish or another language is a plus.
- Ability to multitask, quickly learn and adapt to new information and changes in practice.
- Outstanding organizational skills.
Physical Demands:
- Extended periods of sitting at a desk and working on a computer.
- Ability to lift a minimum of 15 pounds occasionally.
