We are seeking a Senior HVAC Project Coordinator to enhance our Building Services division.


The Project Coordinator is responsible for overseeing, managing, and directing the activities of assigned projects to ensure successful completion within established timelines and budgetary constraints. The primary goals of this role include a) ensuring client satisfaction and b) achieving or surpassing anticipated profit margins.

Key Responsibilities:

  • Collaborate with estimators to gather all relevant details for assigned projects during initial meetings.
  • Analyze project proposals to establish timelines, budgetary limits, operational procedures, staffing needs, and resource allocation for various project phases.
  • Finalize the project budget and work order.
  • Organize and lead turnover meetings for each project.
  • Supervise the procurement, assembly, and approval processes for project submittals in conjunction with the Project Coordinator.
  • Review contracts for approval by the Director of Operations, ensuring all necessary attachments and clarifications are included, with a focus on scope, penalties, and timelines.
  • Conduct equipment buyouts for each project.
  • Manage the procurement of all necessary equipment for project execution.
  • Draft subcontracts for specialized work such as controls, insulation, balancing, and water treatment.
  • Prepare and submit requests for information (RFIs) to clarify any discrepancies in the scope of work.
  • Generate and submit change orders for each project as needed.
  • Prepare monthly progress reports detailing the current status of work in progress.
  • Ensure a schedule of values is established for every project, verifying format and accuracy with relevant superintendents and foremen.
  • Oversee project closeout procedures, ensuring all vendor and subcontractor requirements are met prior to project completion. Address final punch list items promptly and confirm completion with a follow-up letter. Once startup, balancing, and owner training are finalized, submit retention billing requests to accounting.

Qualifications:

A Bachelor's degree in a relevant field or four to six years of related experience or training, or an equivalent combination of education and experience is required. Experience in HVAC and mechanical systems is essential.
