Key Responsibilities:

  • Document Management: Create, edit, and format legal documents such as pleadings, motions, briefs, and discovery materials, ensuring precision and adherence to court regulations and timelines.
  • Case Organization: Organize and maintain case files, both electronic and physical, ensuring all documents are accurately filed and readily available when required.
  • Court Submissions: Facilitate both electronic and manual court submissions, ensuring timely filing of all documents in compliance with applicable court standards.
  • Appointment Coordination: Schedule and coordinate meetings, depositions, hearings, and court appearances, effectively managing the attorneys' schedules.
  • Written Communication: Draft, review, and manage various forms of correspondence, including emails, letters, and memos, ensuring clarity and professionalism.
  • Client Relations: Act as a point of contact between clients, courts, opposing counsel, and other relevant parties, managing inquiries and relaying information as necessary.
  • Financial Administration: Support billing activities, including time tracking, invoice preparation, and expense management.
  • Legal Research: Conduct preliminary legal research and gather pertinent information for cases under the supervision of attorneys.
  • General Office Duties: Perform standard office tasks, including answering phones, photocopying, scanning, and managing supply orders.

Qualifications:

  • Education: High school diploma or equivalent is required; an Associate's or Bachelor's degree in a relevant field is preferred.
  • Experience: A minimum of 3-5 years of experience as a legal administrative assistant or in a comparable role within a law firm.
  • Technical Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), legal document management systems, and electronic court filing platforms.
