The Purchasing Manager collaborates closely with the finance department on contractual agreements, invoicing, and various financial aspects, including generating reports on purchase orders and cost evaluations, as well as assessing potential vendors and suppliers.

A successful Purchasing Manager will conduct price comparisons to optimize return on investment and negotiate suitable contracts to minimize risks associated with price fluctuations and quality assurance in supplier products and distribution.

Key Responsibilities:

  • Act as a motivational leader to inspire others and promote sound financial and business decision-making; exemplifies integrity and honesty; manages purchasing, vendor relations, and analysis between internal and external partners for both perishable and non-perishable items.
  • Collaborate with local culinary teams and Head Chefs to maintain reduced food costs and manage controllable expenses across all purchasing categories (e.g., Food, Beverage, and Controllable) to ensure product quality and profitability.
  • Ensure compliance with local and regional health and safety regulations as well as sanitation standards as outlined in Soho House guidelines.
  • Supervise all invoices for received goods to verify that quantities, quality, weights, and purchase specifications align with orders.
  • Implement necessary safeguards to secure perishable and non-perishable food and beverage items.
  • Establish key performance indicators (KPIs) to set objectives and action plans that prioritize, organize, and achieve consistency in product quality while maximizing profit margins.
  • Conduct regular property inspections to ensure all areas are well-maintained and that preventative maintenance procedures are effectively implemented.
  • Estimate projected costs related to food and beverage inventory for current and prospective properties, considering proper levels, dating, rotation, requisitions, etc.
  • Produce and deliver accurate and timely reports, presentations, and other relevant documentation.

Essential Skills and Qualifications:

  • Minimum of 5+ years of relevant experience.
  • Demonstrated experience in vendor management and rate negotiation.
  • Familiarity with local and regional sanitation and health safety regulations.
  • Highly organized, efficient, and detail-oriented.
  • Ability to excel in a fast-paced, high-volume work environment.
  • Knowledge of ADACO, FnBshop, and BirchStreet is advantageous.

Physical Requirements:

  • Ability to grasp, turn, and hold objects with hands.
  • Capacity to remain on feet for at least 8 hours.
  • Ability to move quickly between different areas of the establishment.
  • Must be able to lift, pull, carry, or move at least 50 pounds.
  • Capability to kneel, bend, crouch, and climb as necessary.
