Job Title: Administrative Assistant IV

Duties:
  • Provide administrative support to ensure efficient operation of the office.
  • Support managers and employees through various tasks related to organization and communication.
  • Handle confidential and time-sensitive material with discretion.
  • Familiar with industry concepts, practices, and procedures.
  • Effective communication skills, including phone and email, to ensure accurate and timely completion of tasks.
  • Answer and direct phone calls, schedule meetings and appointments, and maintain contact lists.
  • Produce and distribute correspondence, memos, letters, faxes, and forms.
  • Assist in preparing regularly scheduled reports and develop a filing system.
  • Order office supplies, book travel arrangements, and submit and reconcile expense reports.
  • Provide general support to visitors, answer questions, and provide information.
  • Take dictation, research, and create presentations, and develop processes.
  • Generate reports, handle multiple projects, and prepare and monitor invoices.
  • Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Maintain equipment by completing preventive maintenance requirements, calling for repairs, and evaluating new equipment and techniques.
  • Maintain supplies inventory by checking stock, anticipating needs, and placing orders.
  • Stay up-to-date with industry knowledge by attending educational workshops, reviewing publications, and participating in professional societies.
Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, PowerPoint, Outlook).
  • Excellent verbal and written communication abilities, with a proven ability to interact with technical and non-technical stakeholders.
  • Strong organizational and multitasking abilities, with a keen eye for detail and accuracy.
  • Ability to anticipate needs, troubleshoot problems, and offer solutions proactively.
  • Confidentiality: Must handle sensitive information with discretion.
Education:
  • Bachelor's degree.
