Position: Event Planning Specialist

Reports to: Executive Director

Type: Contracted position / Part-Time

Salary Range: Compensation commensurate with qualifications

Position Overview

The Event Planning Specialist is primarily tasked with the organization and management of youth events. This role is essential in ensuring that all aspects of hospitality, logistics, marketing, and support systems are effectively coordinated for successful event execution. The specialist will lead a team of volunteers and collaborate with various stakeholders to deliver high-quality experiences.

Key Responsibilities:

Team Management & Engagement

  • Recruit and secure a dedicated team to oversee different facets of the event.
  • Facilitate regular meetings to ensure alignment and communication among team members.
  • Adhere to all safety and compliance regulations, maintaining accurate records related to background checks and conduct policies.
  • Ensure that all team members and volunteers are well-informed of their roles and responsibilities.
  • Collaborate with the volunteer coordinator to manage recruitment, training, and assignment of volunteers.

Administrative Duties

  • Oversee the scheduling and organization of team and volunteer activities.
  • Communicate expectations clearly and positively with all stakeholders, including vendors and partners.
  • Develop tools to assist in tracking progress and keeping the team on schedule.
  • Provide general support and resources to the team as needed.
  • Manage financial aspects in collaboration with the Executive Director to ensure adherence to budgetary constraints.

Marketing & Public Relations

  • Collaborate with the organization to create promotional materials and press releases for various media outlets.
  • Engage with local businesses for potential sponsorships and partnerships.
  • Identify and pursue marketing opportunities to enhance event visibility.

Travel Requirements: Limited travel may be necessary for event coordination.

Qualifications:

Education & Experience

  • Bachelor's Degree preferred, but not mandatory.
  • A minimum of 3 years of experience in event planning and execution is required.

Skills & Attributes

  • A strong commitment to fostering a positive and collaborative environment.
  • Ability to manage multiple projects and meet deadlines effectively.
  • Proficient in Microsoft Office and other relevant technologies.
  • Strong problem-solving skills and the ability to handle sensitive situations with discretion.
