Position Summary: The Financial Operations Manager will oversee the organization's accounting functions, including month-end close processes, accounts payable, cash management, and payroll. We seek a strategic financial leader with a strong background in accounting and non-profit experience, capable of guiding a team of four.

Key Responsibilities:

Financial Oversight:

  • Manage all accounting operations, including accounts payable, banking, payroll, and general ledger activities.
  • Establish and maintain internal controls to ensure the integrity of financial transactions and compliance with regulations.
  • Oversee the month-end close process, ensuring accuracy and timeliness.
  • Ensure adherence to US GAAP and organizational accounting policies.
  • Monitor cost allocations for accurate billing of contracts and grants.
  • Reconcile balance sheet accounts monthly, ensuring current and valid balances.
  • Prepare financial reports for the Executive Team to assess the organization's financial health.

Audit Management:

  • Lead the annual fiscal audit, serving as the primary contact for auditors.
  • Collaborate with external auditors to prepare annual tax returns and ensure timely filings.
  • Oversee the annual audit of the 401k Plan.

Cash Flow Management:

  • Supervise the organization's cash flow, including short-term cash maintenance and investment of reserves.

Payroll and Benefits Administration:

  • Oversee payroll processing, ensuring compliance with organizational policies and regulations.
  • Act as the 401k plan administrator, partnering with the CFO to manage compliance and committee meetings.

Process Enhancement:

  • Lead the Finance team in identifying opportunities for process improvements and automation.
  • Document and develop scalable processes, ensuring cross-training among team members.

Team Leadership:

  • Recruit, train, and manage Finance team members, setting annual goals and maintaining accountability.
  • Provide ongoing coaching and development opportunities for team members.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's degree in Accounting or Finance; CPA preferred.
  • 7-10 years of relevant accounting experience, with at least 5 years in a management role.
  • Experience in a non-profit setting and familiarity with government contracts is highly desirable.
  • Proven ability to implement new systems and processes to scale operations effectively.
  • Strong communication skills, capable of simplifying complex financial concepts.
  • Ability to collaborate across all organizational levels and with external stakeholders.
