Job Summary:

We are seeking a highly organized and detail-oriented Tenant Relocation Specialist to join our team at MDG Design & Construction in Troy, NY. The ideal candidate will provide exceptional administrative support by communicating and coordinating with staff and tenants regarding relocations, issues, requests, and concerns during renovations.

Key Responsibilities:
  • Relocation Coordination: Assist with daily relocation and access, including inspections and events required at multiple sites while working closely with Property Management and clients to prepare and assist residents with all relocation activities.
  • Vendor Communication: Communicate with third-party vendors, including cleaners, moving, and pest control companies.
  • Resident Support: Survey residents to understand their relocation needs and relocation preferences.
  • Community Engagement: Participate in and facilitate resident and community meetings to discuss the relocation process and resident relocation rights and benefits.
  • Inventory Management: Take inventory of tenants' belongings and furniture, infestation, clutter, and hoarding issues.
  • Notice Preparation: Prepare and distribute appropriate notices to residents, along with providing packing supplies and assistance, including light packing and unpacking as necessary.
  • Policy Implementation: Implement relocation policies, relocation counseling, and assistance in compliance with applicable Federal, State, or local regulations.
  • Reporting and Record-Keeping: Regularly update and maintain relocation files, database, relocation tracking reports, and additional various reports.
  • Meeting Coordination: Prepare agenda for weekly relocation meetings and take minutes, if determined necessary.
  • Inspections and Quality Control: Conduct pre and post inspections of Relocation Units to ensure they meet decent, safe, and sanitary requirements.
  • Move Coordination: Conduct final check-in 72, 48, and 24 hours before the moving date.
  • Move Scheduling: Schedule, coordinate, and supervise moves and other move-related tasks.
  • Collaboration and Communication: Work closely with construction, property management, development, and moving contractors to ensure residents vacate their units per the relocation schedule, surrender keys to the property management, and units are properly secured.
  • Damage Prevention and Resolution: Implement procedures for minimizing resident property damage, including taking inventory of furniture and taking photos or video, and serve as the initial point of contact regarding resident claims of damage or loss.
  • Claims Resolution: In the event of property damage or missing belongings, serve as a liaison between the resident and moving company to facilitate a timely resolution of the claim.
  • Additional Tasks: Complete all tasks identified in the site work plan and perform other duties as assigned.
Requirements:
  • Communication Skills: Basic principles of maintaining and updating schedules and creating effective notifications.
  • Technical Skills: Proficiency in MS Office; Word, Excel, Outlook-Calendar, and TEAMS.
  • Business Acumen: Business communication practices and procedures.
  • Confidentiality: Experience handling sensitive and confidential information.
  • Record-Keeping: Principles and practices of effective recordkeeping and records management.
  • Regulatory Compliance: Relevant administrative rules, regulations, policies, and procedures.
  • Customer Service: Must be able to communicate clearly and effectively both written and verbally and have outstanding customer service skills.
  • Organizational Skills: Detail-oriented, highly organized, self-motivated, and have the ability to prioritize tasks and projects with limited direction and time constraints.
  • Adaptability: Resourceful and flexible as challenging situations arise.
  • Continuous Learning: Willingness to learn and take constructive criticism.

Education and Experience:
  • Education: High School diploma. Bachelor's degree in Business, Public Administration, Real Estate, or other related field is preferred.
  • Experience: Background in management, social work, customer services, or real estate.
  • Relocation Experience: 1 to 2+ years experience in relocation services is preferred.
