Role Summary:

The Medical Office Receptionist serves as the initial point of contact for patients and customers, ensuring a seamless experience before, during, and after their appointments. This role is crucial in fostering positive relationships and coordinating effectively with various team members to address patient needs promptly.

Key Responsibilities:

  1. Make a lasting first impression with every patient and customer interaction.
  2. Provide exemplary service to both internal and external stakeholders.
  3. Manage appointment scheduling through established systems efficiently.
  4. Input and maintain protected health information accurately.
  5. Handle patient payments and ensure proper documentation.
  6. Operate a multi-line telephone system with professionalism.
  7. Process medical records and sensitive documents through faxing, mailing, and filing.
  8. Prepare and manage bank deposits.
  9. Record and retrieve daily charges as needed.
  10. Verify insurance benefits and secure necessary pre-certifications.
  11. Communicate effectively with clinic staff and billing departments regarding patient inquiries.
  12. Engage with referring providers and their office personnel professionally.
  13. Participate in training sessions and attend staff meetings regularly.
  14. Uphold the highest standards of confidentiality in accordance with HIPAA regulations.
  15. Perform additional duties as assigned by management.

Qualifications:

Skills: Excellent communication, organizational, and customer service skills are essential.

Education: Relevant educational background preferred.

Experience: Previous experience in a medical office setting is advantageous.

Licenses & Certifications: Relevant certifications may be required.
