Position Overview:

We are in search of a highly efficient and motivated Senior Administrative Coordinator to deliver comprehensive administrative assistance to the CEO and the Founders of Crooked Media, along with additional support for other executives. This role demands exceptional organizational skills, meticulous attention to detail, adaptability, and the capacity to manage multiple priorities in a dynamic environment. The ideal candidate will demonstrate the ability to work autonomously with minimal oversight and possess outstanding interpersonal and communication abilities, both written and verbal. Confidentiality and professionalism are paramount in this position.

Key Responsibilities:

Administrative Support:

  • Provide thorough and precise executive assistance to the CEO and Founders, including calendar management, travel arrangements, expense tracking, email oversight, project coordination, and other administrative tasks.
  • Oversee complex scheduling and collaborate with internal teams and external partners with urgency and discretion.
  • Prepare and organize materials for meetings, including documents and presentations for both internal and external engagements.
  • Anticipate and plan for upcoming events on a monthly, quarterly, and annual basis.
  • Maintain the organization of the CEO's workspace and ensure meeting rooms are adequately prepared for all gatherings, including technical and logistical arrangements.
  • Coordinate with the Board to ensure timely distribution of materials and scheduling of meetings.
  • Arrange travel logistics.
  • Assist with various personal requests as needed.
  • Facilitate scheduling for leadership meetings and follow-ups with key stakeholders.
  • Manage expense reporting, including gathering and submitting receipts.
  • Be accessible via phone and email as required.
Operational Assistance:
  • Collaborate with the Chief of Staff to manage critical projects and maintain focus on key initiatives.
  • Lead the organization of staff meetings, including coordinating external speakers and assisting with logistics.
  • Under the guidance of the Operations Manager, oversee daily office maintenance tasks to ensure a well-functioning workspace.
  • Provide additional support to executives and other departments as necessary.
Qualifications:
  • A minimum of 4 years of experience as an Executive Assistant supporting senior executives in a media or entertainment setting.
  • Exceptional focus, time management, and attention to detail; no task is too small or too large.
  • Proactive and capable of multitasking with the ability to prioritize and anticipate needs effectively.
  • Strong project management skills, including written and presentation capabilities, with the ability to adapt to challenges.
  • Excellent communication skills, both written and verbal.
  • A warm, engaging, and professional demeanor.
  • Resilience and adaptability in a fast-paced environment.

When hiring, we conduct thorough market analyses to ensure our offers are competitive. For this position, the starting salary range is $65,000 - $95,000.
