Position Summary:

The Investment Processing Specialist plays a crucial role in The Entrust Group's commitment to delivering exceptional client service while educating our clients about their investment options. In this position, you will assist clients in completing necessary forms, verifying additional documentation, and submitting requests through our online portal. You will also help clients understand the vast array of investment opportunities available within their IRAs.

This role demands an independent thinker with strong multitasking capabilities who thrives in a fast-paced environment. The position is transaction-focused, requiring regular communication with clients, financial institutions, and investment professionals to secure documentation for client investments, ensuring compliance with industry standards. You will be responsible for reviewing and processing transactions involving various asset types, providing you with the opportunity to engage with a wide range of investment options.

The specialist will report directly to the Manager of the Alternative Assets & Transfers Department.

Key Responsibilities:

  • Oversee the team inbox, organizing emails into appropriate folders.
  • Assign new purchase, additional funding, exchange, and sell requests, as well as track automated funding requests through spreadsheets.
  • Review and assign signature requests from clients and investors, along with other miscellaneous requests.
  • Process funding requests by reviewing submitted forms and supporting documents for buys, sells, additional funding, and exchanges within a timely manner.
  • Review, save, and update agreements related to escrow files. Scan and archive incoming mail, such as stock certificates.
  • Respond to client and internal inquiries via email and phone promptly.
  • Resolve client issues by providing clear explanations, expediting corrections, and following up to ensure satisfaction.

Qualifications:

  • Preferred experience in banking, finance, accounting, or related fields.
  • Experience in client services or similar industries is advantageous.
  • Excellent communication and business writing skills are essential.
  • Strong analytical, critical thinking, and problem-solving abilities.
  • Detail-oriented with proficient data entry skills.
  • Proficient in Microsoft Office applications.
  • Demonstrated ability to manage multiple projects and prioritize tasks effectively.
  • Positive attitude and flexibility when working with clients and colleagues across departments.
  • Empathetic communication skills across diverse groups while adhering to company policies.
  • Familiarity with self-directed retirement plans or the retirement industry is a plus.
  • A Bachelor’s degree is required.
