Job Summary

We are seeking a highly organized and detail-oriented Administrative Associate - Patient Care Coordinator to join our team at Yale New Haven Health. This role will be responsible for coordinating patient care and physician activity, ensuring seamless communication and efficient operations in our medical office.

Key Responsibilities
  • Schedule Management: Maintain appointment schedules, communicate changes to staff and physicians, and ensure accurate and timely updates.
  • Front Desk Operations: Coordinate the check-in process, verify patient information, and ensure quality services are provided in a cost-effective and efficient manner.
  • Telephone Management: Answer calls, assist callers, and maintain proper telephone etiquette to provide excellent customer service.
  • Pre-Authorizations: Execute pre-authorizations for diagnostic tests and procedures as required by insurance companies.
  • Electronic Medical Records: Maintain accurate and up-to-date electronic medical records in accordance with NEMG policies and procedures.
  • Daily Activities: Perform daily tasks, including message retrieval, voicemail, fax distribution, filing, photocopying, and mail sorting.
  • Co-Pay Collections: Collect and reconcile co-pay collections, cash drawers, and credit card payments within Epic.
  • Quality Improvement: Collaborate in the development of quality improvement activities, contribute to individual team and department evaluations, and attend staff meetings.
  • Cultural Competence: Utilize effective communication methods to interact with diverse populations, and coordinate efforts to gain patient and family feedback.
  • Additional Tasks: Perform other related tasks as requested by physicians and management, including cross-coverage and chaperone duties.
Requirements
  • Education: High School degree or equivalent required.
  • Experience: 1 year of administrative healthcare experience or 2 years of administrative office experience required.
  • Skills: Excellent organizational, communication, customer service, and teamwork skills, with the ability to multi-task and work effectively in a fast-paced environment.
