About the Role
We are seeking a highly skilled Administrative Specialist III to join our team at the Department of Health and Social Services (DHSS). As a key member of our Division of Substance Abuse and Mental Health, you will play a critical role in supporting our mission to improve the quality of life of Delaware citizens.
Key Responsibilities
- Provide administrative support to the Chief of Staff, including data analysis, scheduling, auditing, minute-taking, and preparing reports, spreadsheets, and presentations.
- Manage supply ordering and HR tasks, such as staffing and serving as the Division's eStar Auditor/Timekeeper.
- Develop and maintain databases, spreadsheets, and presentations using software packages like Access, Excel, and PowerPoint.
- Serve as a liaison with the public, clients, agency staff, and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures.
- Ensure effective coordination of operational functions and establish tracking and monitoring systems to ensure effective resolution of matters.
- Analyze routine operating practices and procedures to make recommendations for smooth and efficient office operation.
- Maintain and control data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, program, and project activities.
Requirements
- Two years of experience in coordinating administrative support operations, tracking workflow, and resolving problems, providing guidance and consultation to management, customers, and others on administrative matters.
- Two years of experience in conducting research from multiple sources, analyzing data collected, and preparing reports, letters, and administrative documents.
- One year of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data.
- One year of experience in using standard computer software programs for word processing, spreadsheets, or databases.
