Job Summary

We are seeking a highly skilled and organized Administrative Support Specialist to join our team at Ambercare. The successful candidate will provide administrative support to our executives, ensuring they have the time and resources needed to focus on executive-level functions.

Key Responsibilities
  • Provide high-level administrative support to a wide range of business tasks, including confidential and time-sensitive matters.
  • Assist with appointment scheduling and calendar management for senior-level management.
  • Coordinate arrangements for internal and external meetings, conference calls, and compile and disseminate materials as required.
  • Work on special projects as needed, utilizing multi-tasking skills and prioritizing tasks effectively.
  • Take initiative, use good judgment, and understand deadlines to carry multiple projects through to completion with minimal interruption.
  • Work independently under general direction, prioritizing work and managing multiple tasks simultaneously.
  • Assist in coordinating monthly and quarterly local and branch award programs.
  • Maintain the company intranet and external website.
  • Greet guests, maintain the reception area and main conference room appearance.
  • Answer overflow switchboard calls.
  • Provide accurate information about the company's services and respond to questions and requests.
  • Develop and maintain effective working relationships with management and support center staff.
  • Maintain confidentiality at all times due to access to sensitive information.
  • Maintain regular, predictable, consistent attendance and be flexible to meet the needs of the department.
  • Follow all Medicare, Medicaid, and HIPAA regulations and requirements.
  • Abide by all regulations, policies, procedures, and standards.
Requirements and Competencies
  • High School diploma or equivalent.
  • Two years of administrative and caregiver experience.
  • Ability to handle confidential aspects of the role.
  • Good command of Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong oral and written skills.
  • Ability to assess workload and re-prioritize as needed, handling multiple tasks under tight deadlines.
  • Ability to work under pressure, deal with interruptions, and make necessary adjustments.
  • Interact professionally with all levels of management and staff.
