This position requires a keen understanding of market trends, cost management, and the development of streamlined processes. The Purchasing Manager collaborates closely with the finance department on contracts, invoicing, and other financial aspects, including generating reports on purchase orders and conducting cost analyses, as well as evaluating potential vendors and suppliers.

A successful Purchasing Manager will analyze pricing to optimize return on investment and negotiate favorable agreements to minimize risks associated with price fluctuations and quality assurance in supplier products and logistics.

Key Responsibilities:

  • Act as a persuasive leader to motivate others and promote sound financial and business decision-making; exemplify integrity and honesty; manage purchasing and vendor relations while analyzing interactions between internal and external stakeholders for both perishable and non-perishable items.
  • Collaborate with local culinary teams and Head Chefs to maintain reduced food costs and manage controllable expenses across all purchasing categories (e.g., Food, Beverage, and Controllable) to ensure product quality and profitability.
  • Ensure compliance with local and regional health and safety regulations, as well as sanitation standards as outlined by Soho House guidelines.
  • Oversee the verification of all invoices against received goods to confirm that quantities, quality, weights, and purchase specifications align with orders.
  • Implement necessary safeguards to secure perishable and non-perishable food and beverage items stored on-site.
  • Establish key performance indicators (KPIs) to set objectives and action plans that prioritize, organize, and achieve consistency in product quality while reducing margins and maximizing profits.
  • Conduct regular property inspections to ensure all areas are well-maintained and that preventative maintenance measures are effectively implemented.
  • Estimate projected costs related to food and beverage inventory for current and prospective properties, considering proper levels, dating, rotation, requisitions, etc.
  • Generate and deliver accurate and timely reports, presentations, and other documentation as required.

Qualifications:

  • A minimum of 5 years of relevant experience.
  • Demonstrated experience in vendor management and rate negotiation.
  • Familiarity with local and regional sanitation and health safety regulations.
  • Highly organized, efficient, and detail-oriented.
  • Ability to excel in a fast-paced, high-volume work environment.
  • Experience with ADACO, FnBshop, and BirchStreet is advantageous.

Physical Requirements:

  • Ability to grasp, turn, and hold objects with hands.
  • Capability to remain on feet for a minimum of 8 hours.
  • Fast-paced movement is necessary to navigate between different areas.
  • Must be able to lift, pull, carry, or move at least 50 pounds.
  • Ability to kneel, bend, crouch, and climb as required.
