Overview

Auto Trakk serves as a dedicated center for a pre-owned vehicle leasing initiative, aimed at offering dependable transportation solutions for individuals facing credit challenges.

Role Summary

We are seeking a Customer Service Representative who will also fulfill the role of a receptionist and general administrative support. This full-time position encompasses a variety of responsibilities, including but not limited to, engaging with clients to deliver daily telephone assistance, along with support through various communication channels. The representative will provide clients with information in response to inquiries about their Auto Trakk accounts, address lease contract questions, process payments, and offer guidance to the public, customers, visitors, and other interested parties regarding the organization’s operations.

Key Responsibilities

  • Verify customer identity in compliance with established standards.
  • Engage with clients via telephone, email, text, or chat to provide account information and lease program details.
  • Process payments and address any payment-related inquiries.
  • Update customer account information, including address changes.
  • Respond to questions regarding property taxes, limited warranties, vehicle registrations, and device-related issues.
  • Clarify End of Lease options to clients, arrange necessary steps, and seek management approval.
  • Initiate follow-up communications with clients as needed to resolve outstanding issues.
  • Document all interactions and transactions promptly, including inquiries, complaints, and actions taken.
  • Manage administrative tasks related to incoming and outgoing correspondence.
  • Operate a telephone system to answer, screen, or direct calls appropriately.
  • Provide callers with essential information, such as company details and directions.
  • Welcome visitors to Auto Trakk, assessing the purpose of their visit.
  • Utilize computers for various applications, including database management and word processing.
  • Handle office equipment, such as fax machines and copiers, and arrange for repairs as necessary.
  • Sort and distribute mail, messages, or courier deliveries.
  • Coordinate express mail services, such as FedEx and UPS.
  • Perform administrative support tasks, including filing and maintaining records.
  • Transmit information or documents to clients through various means.
  • Maintain the reception area, ensuring it is presentable and organized.

All tasks must be executed in accordance with company policies and procedures.

Work Schedule

This full-time role is structured around a 40-hour workweek. Representatives are typically scheduled for rotating Saturday shifts and at least two late shifts each week, with hours subject to adjustment based on business needs.

Qualifications

  • Effective verbal and written communication skills, with a strong command of the English language.
  • Proficient in computer operations, including document management software and Microsoft Office Suite.
  • Experience using a multi-line phone system for inbound and outbound communications.
  • Understanding of customer service principles and practices.
  • Familiarity with general office equipment for faxing, scanning, and printing.
  • High school diploma or equivalent (GED) required.
