Executive Support Specialist

We are seeking an experienced and highly motivated Executive Support Specialist to join our team in Business Operations. This individual will provide exceptional administrative support to our executive staff, handling a wide range of tasks including paperwork, scheduling appointments, and organizing calendars. The ideal candidate will have at least 3 years of experience working in a fast-paced office environment, with excellent communication skills and the ability to multitask effectively.
Key Responsibilities:
- Paperwork Management: Ensure timely completion of all transactions, maintaining accurate records and ensuring compliance with legal procedures.
- Transaction Coordination: Monitor deadlines, notify clients and stakeholders as needed, and plan appointments and final walkthroughs.
- Scheduling and Organization: Manage calendars for executives, coordinate travel arrangements, and ensure seamless day-to-day operations.
- Digital Marketing: Assist in generating leads, conducting market research, and implementing digital strategies to optimize performance.
- Social Media Engagement: Support marketing efforts by creating engaging content, monitoring online presence, and fostering customer relationships.
- Marketing Materials: Develop high-quality marketing materials, including brochures, flyers, and social media posts, to enhance brand recognition.
- Customer Service: Provide exceptional customer service, delivering concierge-level support to sellers, buyers, and lenders.
Requirements:
- Exceptional Communication Skills: Strong written, verbal, phone, and presentation skills, with the ability to communicate complex information effectively.
- Tech Savvy: Proficient in using CRM systems and other technology tools to streamline processes and improve productivity.
- Problem-Solving Skills: Ability to analyze problems, identify solutions, and implement effective resolutions.
- Results-Oriented: Proven track record of delivering results, meeting deadlines, and exceeding expectations.
- Team Player: Collaborative mindset, with the ability to work effectively in a fast-paced team environment.
Benefits:
- Competitive Salary: $60,000 - $80,000 per year, based on experience.
