The Assistant Jury Coordinator will support the Jury Manager in overseeing the activities of jury commissioners and clerks, ensuring the smooth operation of the jury commission for Orleans Parish Criminal District Court. Exceptional customer service skills are essential for interacting with potential jurors and maintaining accurate records related to the jury commission's daily operations.
Educational Qualifications:
A high school diploma or equivalent is required.
Professional Experience:
A minimum of two years in a clerical role that involved direct customer service, either in person or via phone. Experience in judicial operations or related fields such as criminal justice, legal services, or financial services is preferred. Supervisory experience is mandatory.
Key Competencies:
- Demonstrate sound judgment within established policy frameworks.
- Effectively communicate in front of large audiences in a professional and courteous manner.
- Collaborate efficiently with the public, colleagues, supervisors, and judicial personnel, especially under pressure.
- Handle sensitive and confidential matters with discretion and diplomacy.
- Build and maintain strong, customer-oriented relationships with all stakeholders.
- Safeguard the confidentiality of court documents and records.
- Recall and apply relevant rules, procedures, and regulations accurately.
- Utilize software proficiently to manage information and maintain court records.
- Assess the accuracy of jury documentation and determine juror qualification status.
- Apply relevant terminology and procedures to identify issues, gather data, and complete necessary forms.
- Communicate effectively, both verbally and in writing, with jurors, judges, and other court officials.
- Operate standard office equipment and software, including computers, word processors, and databases.
- Manage multiple priorities and adapt to changing situations in a fast-paced environment.
Responsibilities:
1. Provide assistance and backup to the Jury Manager.
2. Supervise and mentor jury commissioners and clerks.
3. Evaluate the work of jury commissioners and clerks, including their public interactions.
4. Supply judges with necessary information and updates regarding jury panels.
5. Respond to requests for reports and information.
6. Assist jury commissioners and clerks with:
- Operating the Court's Jury Management System (JMS) and ensuring data integrity.
- Generating jury panel sheets for court sections based on random allotment for voir dire.
- Updating lists of prospective jurors and managing communication regarding jury service.
- Preparing juror schedules and documentation for empanelment.
- Issuing certificates and appreciation letters to jurors.
- Sorting and managing incoming mail.
- Supporting jury orientation and empanelment processes.
- Assisting during jury selection alongside court officials.
- Addressing inquiries from jurors and aiding in the completion of qualification forms.
- Keeping jurors informed throughout the day and managing their dismissal when appropriate.
- Validating jury parking attendance as needed.
- Performing additional related duties as assigned.
