We are excited to announce an opening for an Office Operations Manager.

The Office Operations Manager, under the guidance of the Senior Manager of Business Operations, is responsible for overseeing the daily functions of designated departments within the office and plays a key role in coordinating company-wide initiatives and activities.

Key Responsibilities:

  • Supervise and provide direction regarding workflow, resources, and priorities in assigned areas; may oversee direct report staff and/or projects; manage the workflow and resources effectively;
  • Oversee and execute daily operational tasks and services for local departments including Client Service Specialists, Paralegals, Office Services, Records, Facilities, and Reception;
  • Implement company initiatives and operations at the local level, including office projects, programs, and events such as relocations, maintenance, security, and resource management activities;
  • Plan and coordinate office events;
  • Participate in the recruitment process for administrative personnel, including interviews;
  • Assist in budget oversight and management within assigned departments;
  • Act as an administrative liaison with internal teams and external partners; maintain vendor relationships;
  • Ensure accurate maintenance of administrative files, spreadsheets, and databases; generate reports and presentations;
  • Update processes and systems related to office transitions, staffing changes, and other transactions; assist with budget management;
  • Help coordinate orientation schedules for new associates and staff, providing overall support to integrate them into the office and the organization;
  • Assist with related events and activities as needed;
  • Work beyond regular hours as necessary; and
  • Manage additional related projects as required.
Required Skills:
  • Advanced proficiency in Microsoft Office Suite; basic proficiency in planning, allocating, and reconciling an operations budget;
  • Fundamental to advanced knowledge of office administration and service procedures, preferably in a professional services environment;
  • Basic understanding of records management, ideally in a legal context;
  • Basic knowledge of facilities management procedures and best practices;
  • Basic understanding of reception operations and best practices;
  • Basic knowledge of office management and procedures (preferred).
Qualifications:
  • Bachelor's degree (preferred);
  • Minimum of 2 years of supervisory experience (preferred); and
  • At least 6 years of experience in a professional services or legal environment (required).
