We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at MasTec Advanced Technologies.

Job Summary

The successful candidate will provide administrative support to our site and regional operations, ensuring efficient and effective business operations. This role involves providing administrative assistance directly to the office and field teams.

  • Process payroll timesheets in a timely manner to ensure employees receive their pay on time and capture revenue accurately.
  • Maintain an organized filing system with current and easily retrievable documentation.
  • Support vendor relations, including purchase orders, payment of invoices, new vendor setup, and issue resolution.
  • Verify invoices for accuracy and completeness before processing.
  • Enter invoices from the field and assist the billing team as needed.
  • Handle daily calls, emails, and correspondence, routing inquiries and requests to the appropriate team members for response.
  • Provide customer service and support employees with tasks related to customer requests.
  • Track paperwork, process new work or projects, update project status, complete CUs, create invoices, and maintain a detailed record of start and end dates.
  • Organize and coordinate staff meetings, prepare materials, and follow up on action items.
  • Respond promptly to requests from Resource Management and Field Operations.
  • Maintain safe working conditions by adhering to safety practices.
  • Prepare and submit new hire documentation according to company policy.
  • Submit expense reports weekly, including traveling technicians and new hires.
  • Assist other office support employees as required and coordinate special projects.
