About the Role

The National Board of Chiropractic Examiners (NBCE) is seeking a highly skilled Facilities Operations Manager to oversee the management and maintenance of our 19-acre campus. As a key member of our team, you will be responsible for ensuring the smooth operation of our facilities, grounds, and maintenance services.

Key Responsibilities
  • Facilities and Grounds Management
    • Oversee all aspects of facilities and grounds maintenance, including electrical and HVAC systems, plumbing, landscaping, snow removal, fountain operation, parking lot management, and housekeeping services.
    • Negotiate and manage all vendor contracts and service agreements, including facilities and grounds services, equipment, and appliances.
    • Supervise the cleaning, maintenance, and upkeep of buildings and grounds performed by contract workers and ensure compliance with contracts and service agreements.
    • Initiate and schedule preventative maintenance of company systems, equipment, vehicles, and appliances, as appropriate.
    • Inspect buildings and grounds daily for appearance standards, safety, fire hazards, upkeep, and maintenance needs.
    • Verify proper operation of heating, air conditioning, ventilation units, fire alarms, and security systems.
  • Building Security, Safety, and Compliance
    • Manage the security of NBCE buildings and grounds. Answer calls from the alarm company, inspect the buildings and grounds, as necessary, and ensure trespassers leave the premises.
    • Respond to facility emergencies/critical issues inside and outside of regular business hours.
    • Manage staff and tenant access to buildings. Program and deactivate key fobs, alarm codes, and access via the Brivo Pass app.
    • Co-chair the Safety Committee with the Human Resources Manager.
    • Report any safety or security issues to the co-chair and other members of management, as appropriate.
    • Assist in training staff and tenants on safety and security-related topics.
    • Work with city, county, and state officials to ensure all appropriate building and land use codes are followed.
    • Ensure fire codes are met and escort fire fighters during Fire Department inspections.
  • Facility Remodeling/Special Projects
    • Supply information and necessary forms to contractors and vendors performing special projects on NBCE properties.
    • Produce and distribute correspondence to staff, contractors, and vendors regarding maintenance and project issues.
    • Coordinate all facilities and grounds maintenance considering remodeling/special projects.
    • Assist with the coordination and scheduling of building projects.
  • Administrative and Budget Management
    • Maintain correspondence, a maintenance book, and other appropriate files for the Facilities Department.
    • Maintain and update maintenance and project information. Compose and produce reports for appropriate staff members.
    • Research and compile information regarding maintenance and facility issues, and provide documentation as directed.
    • Order and maintain a supply of necessary products and tools for maintenance, cleaning, and facility management.
    • Develop and manage the Facilities Department budget.
    • Verify that invoices for facilities and maintenance services are correct according to contract or service agreements, and process invoices in the accounting system.
Requirements

We are seeking a highly skilled and experienced Facilities Operations Manager with:

  • A high school diploma or equivalent. Bachelor's degree in Facilities Management, Business Administration, or related field preferred.
  • Certifications such as Certified Facility Manager (CFM) or Facility Management Professional (FMP) or technical training are a plus.
  • Five (5) + years of facilities management experience in progressively responsible related positions and experience in general electrical and plumbing required.
  • HVAC experience highly desired.
  • Experience managing and motivating a diverse team of contractors and vendors.
  • Previous budget management experience.
  • Construction experience and demonstrated experience with new buildings and facility expansions preferred.
