JOB DESCRIPTION
The Administrative Operations Manager will oversee a range of administrative functions while providing support to Account Executives (AEs) and/or the CEO on diverse projects and tasks. The ideal candidate should possess a people-centric approach, high energy levels, a strong sense of urgency, and exceptional multitasking capabilities.
Key Responsibilities Include:
- Managing content on LinkedIn, maintaining company databases, and overseeing multiple company websites
- Preparing recruitment and hiring analytics by gathering, analyzing, and summarizing data trends
- Scheduling and managing calendars
- Drafting various reports, correspondence, documents, and presentations
- Posting job descriptions across various job boards, associations, and professional networking platforms
- Conducting reference and background verifications
- Creating client agreements, candidate authorizations, candidate status reports, and other essential documents
- Handling candidate data entry, updates, tracking, and database management
- Coordinating with multiple contacts to arrange phone interviews, meetings, and conference calls
- Managing office supplies, welcoming visitors, and responding to all incoming phone inquiries
- Utilizing proactive thinking, multitasking, and prioritization skills to complete projects within set deadlines
- Participating in candidate searches, InMails, and vetting processes
- Executing mass email campaigns
REQUIREMENTS
- Previous office experience is advantageous
- Strong ethical standards and professionalism
- Ability to multitask effectively
- Well-developed writing and communication skills
- Proficient typing skills (minimum 40 WPM)
- Highly computer literate with a solid understanding of Microsoft Office Suite (especially Word, Excel, and PowerPoint)
- Excellent telephone manners
- Advanced internet navigation abilities
- Experience with various professional networking platforms is desirable
COMPENSATION
- $18-$23/hr
