Position Overview

Under the supervision of the Assistant Director of Enrollment Management Customer Relations, the Enrollment Services Representative is tasked with delivering exceptional customer service and managing front-line reception duties for the Enrollment Management Offices, which encompass Undergraduate Admissions and Financial Aid Services. This role necessitates a thorough comprehension of Financial Aid protocols, timelines, and regulations, along with outstanding communication and customer service abilities.

Key Responsibilities

  • Deliver accurate information regarding Financial Aid processes, timelines, requirements, and regulations to current and prospective students, families, and educational staff through various communication channels.
  • Serve as the primary point of contact for customer service and reception within the Enrollment Management Offices.
  • Handle incoming inquiries via phone, email, and in-person visits, providing assistance or directing them to appropriate staff members as necessary.
  • Oversee and manage Financial Aid appointment scheduling, ensuring effective communication with students and families regarding appointments.
  • Proactively follow up with students and families to facilitate the completion of financial aid applications and processes, while reporting outcomes to the Assistant Director.
  • Support the Assistant Director in training and guiding the outreach team of student staff, ensuring they are well-informed about Financial Aid policies and procedures.
  • Process various forms and requests related to financial aid, including housing forms, enrollment forms, and application fee waivers.
  • Assist the Undergraduate Admissions team as needed, providing customer service in response to inquiries and incomplete applications.

Additional Responsibilities

  • Adhere to compliance requirements related to FERPA, Title IX, and other regulations.
  • Engage with students to foster their success and contribute positively to the campus community.
  • Collaborate with various campus stakeholders to support the mission of Enrollment Management.
  • Exhibit exceptional customer service skills in all interactions.
  • Contribute to a respectful and inclusive workplace environment.
  • Handle sensitive university-related information with discretion and confidentiality.
  • Promote a culture of diversity and non-discrimination within the department.
  • Perform other duties as assigned to support departmental objectives.

Qualifications

  • High school diploma or equivalent required.
  • Experience in customer service or related fields preferred.
  • Strong communication skills, both verbal and written.
  • Ability to build and maintain effective working relationships.
  • Capability to manage challenging situations with professionalism.
  • Proficiency in data entry and familiarity with student information systems.
  • Commitment to fostering a diverse and inclusive environment.

Preferred Qualifications

  • Experience in Financial Aid, student services, or admissions.
  • Knowledge of privacy laws and experience handling confidential information.
  • Familiarity with PeopleSoft or similar student information systems.
  • Bilingual or multilingual candidates are encouraged to apply.

  • Standard office environment.

Work Schedule

  • Regular office hours with potential for a hybrid work arrangement.

Salary Information

Position classified as USA/MTA Non-Exempt Grade 13.
