Job Summary

Meadows & Ohly, LLC is seeking an experienced Assistant Program Manager to join our team in the Healthcare Construction/Development department. The successful candidate will be responsible for the execution of all aspects of assigned healthcare construction projects, working closely with multiple Program Managers to prepare and organize project information, including schedules, documentation, and financial queries.

Key Responsibilities
  • Support regional teams in implementing short- and long-term projects, ensuring timely completion and quality delivery.
  • Draft, revise, and track project documents, including construction drawings, specifications, RFPs/RFQs, budgets, schedules, proposals, meeting minutes, action item logs, and contracts.
  • Assist Program Managers in developing construction project costs, including competitive bids, negotiated pricing, and preliminary project budget pricing.
  • Travel to and attend on-site meetings with contractors, designers, and owners, ensuring effective communication and collaboration.
  • Assist in project contract management, including contract execution processes, financial tracking, validating invoices, and contract close-out.
  • Organize construction projects, including ordering samples and plans, submitting plans for permitting, and coordinating contractor correspondence, payment applications, and lien waivers.
  • Assist with creating and distributing marketing materials for the department, as well as preparing presentations for prospects and project meetings.
  • Prepare agendas and documentation for internal and external meetings, ensuring clarity and effectiveness.
  • Compose a variety of correspondence, compile and process confidential materials, and review finished materials for completeness, accuracy, proper format, and grammar.
  • Assist with planning and implementation of department events and initiatives, ensuring successful execution and positive outcomes.
  • Organize and schedule project meetings, ensuring timely and effective communication among team members.
Requirements
  • Proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint, with the ability to quickly learn Microsoft Projects, Microsoft Timeline, Smartsheet, and E-Builder.
  • Excellent interpersonal, organizational, communication, and problem-solving skills, with the ability to work well in a small, dynamic regional team environment.
  • Ability to multi-task and consistently meet deadlines, with a high level of accuracy and attention to detail.
  • Strong customer service skills, with the ability to handle sensitive and confidential information with poise, tact, and diplomacy.
  • Analytical ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work effectively.
  • Working knowledge of design, construction, program management, and development terms, with a preference for construction management or business degree with construction experience.
Minimum Qualifications
  • Bachelor's degree from a four-year college or university.
  • Construction management or business degree with construction experience is preferred.
  • Previous work experience related to construction is preferred.
Working Environment

The work environment is typically moderate, with occasional travel to on-site meetings and project locations. The successful candidate will be required to sit for extended periods, use hands and fingers to handle or feel, reach with hands and arms, talk and hear, and occasionally lift and/or move up to 25 pounds.
