Job Overview

The individual in this role will oversee the procurement and tracking processes essential for the organization’s requirements regarding repair and enhancement components, along with associated external services. This position entails coordinating the execution of order tracking related to designated maintenance supplies and services. It is crucial to maintain effective communication and collaboration with all internal and external stakeholders to ensure optimal customer service levels.

Key Responsibilities (*Essential)
  1. Uphold safety standards, consistently practicing safe work habits and adhering to safety regulations.
  2. Manage purchasing and planning activities to guarantee timely completion of production orders, which includes workload prioritization, prompt receipt of vendor work, and troubleshooting throughout the process to meet deadlines.
  3. Initiate purchase orders and modifications for parts, services, and specialized tools; maintain close collaboration with maintenance leadership and operational management to ensure effective coordination of external services and contractors.*
  4. Evaluate and negotiate quotes, delivery terms, and pricing with suppliers, recommending vendors based on cost, quality, and delivery efficiency for assigned tasks.*
  5. Collaborate with warehouse personnel to schedule the shipping and receiving of orders, ensuring timely dispatch and receipt of materials.*
  6. Generate purchase orders for external processing applications with current suppliers involved in maintenance and repair activities. Assess priorities and resolve issues with suppliers to ensure timely order fulfillment.*
  7. Identify and mitigate obstacles that may hinder the achievement of maintenance and repair schedules by communicating material and resource shortages for ongoing maintenance tasks. Understand challenges and work proactively to resolve them, ensuring expedited delivery of purchased components.*
  8. Perform additional duties as assigned.
  9. Maintain a customer-service-oriented approach with colleagues, other departments, and clients.
  10. Promote and practice effective housekeeping measures, supporting all organizational efforts to comply with OSHA and environmental standards.
  11. Regularly back up all computer files to the network.
  12. Execute all other assigned responsibilities.
Special Location/Position Requirements:
  • Experience with the local industrial parts supply network is preferred.
  • Flexibility to work reasonable hours and additional time as necessary, including weekdays, weekends, and holidays.
Job Specifications (Experience, Skills, Abilities, etc.)
  • 3 to 5 years of experience in Purchasing is required.
  • Relevant experience in a large, multi-product manufacturing environment focused on highly engineered products is essential.
  • Understanding of material requirements planning, shipping/receiving, inventory management, and supply chain operations.
  • Proven ability to prioritize supplier workloads and troubleshoot to ensure compliance with delivery dates for outside processing orders.
  • Capability to manage detailed information and prioritize resources effectively to achieve results.
  • Ability to cultivate and manage supplier relationships.
  • Proficient in SAP and skilled in Microsoft Office applications (Excel, Word, PowerPoint, etc.).
  • Strong verbal and written communication skills.
  • Excellent negotiation abilities are required.

Education Requirements:

A High School Diploma or equivalent is required; some college education is preferred.

Physical Demands/Environmental Conditions:

Normal office and plant conditions apply. The office may be situated within a multi-level production facility. Job responsibilities may involve extended periods of sitting, telephone, and computer work, as well as interaction with others. Typical office conditions include walking, standing, bending, kneeling, climbing stairs, lifting, driving, and/or traveling.

Daily exposure to shop conditions, which can vary based on assigned tasks, typically includes exposure to dirt and noise. Involves considerable standing and walking. Skin and eyes may be exposed to drying and irritating fumes, vapors, and solutions managed according to OSHA standards. Work may occur both indoors and outdoors, sometimes in dusty or confined areas when in the shop/lab.
