About the Opportunity

We are seeking an organized and detail-oriented Administrative Support Specialist to provide exceptional support to faculty and lab members within the Weill Institute for Cell and Molecular Biology. As a key member of our administrative team, you will be responsible for managing day-to-day operations, coordinating events, and ensuring seamless grant proposal submissions.

Key Responsibilities

Bullet Procurement Management: Accurately manage procurement requests, supplies, and services for supported labs using eShop, p-card, and purchase order requests through the University's financial system.

Bullet Travel Arrangements and Reimbursements: Efficiently make travel arrangements and process reimbursements promptly using the University's Concur system.

Bullet Event Planning and Coordination: Organize and execute lab events, including meetings and Ph.D. defense celebrations, with faculty and staff collaboration.

Bullet Grant Proposal Preparation: Prepare and update Other Support and similar documents required for grant applications.

Required Skills and Qualifications

Bullet A high school diploma or equivalent and 2-4 years of experience working independently in a dynamic, service-oriented team environment.

Bullet Proficiency in using common productivity applications like Word, Excel, PowerPoint, and email, as well as experience with enterprise-wide systems for administrative tasks such as purchasing and travel reimbursements.

Bullet Strong organizational skills and sound judgment to prioritize tasks effectively, handling multiple responsibilities and interruptions with grace and flexibility.

Bullet Excellent written, oral, and listening communication skills.

Bullet Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and well-being.

This position also comes with a competitive salary range of $22.60-$24.03 per hour.

Location

This full-time (40 hours/week) endowed position is based in Ithaca, NY and fully on-site. Work hours are 8am-5pm Monday through Friday.
