Position Title: Trust Assistant

Department: Trust Services

Reports To: Market President


POSITION SUMMARY: This role is integral to supporting the local market operations under the direct supervision of the Market President. The Trust Assistant is a salaried, non-exempt position, responsible for accurately tracking hours worked, with all overtime requiring prior approval.

KEY RESPONSIBILITIES:

  • Uphold a high standard of confidentiality regarding all client and internal matters.
  • Provide comprehensive administrative and clerical assistance to Trust Officers, including managing trust transactions, drafting correspondence, and preparing documentation for the Trust Committee.
  • Effectively prioritize tasks and manage multiple responsibilities while ensuring exceptional service to clients and stakeholders.
  • Oversee the opening, closing, and maintenance of client accounts.
  • Monitor cash balances to prevent overdrafts and manage significant balances.
  • Coordinate tax reporting processes.
  • Conduct research and maintain databases as needed.
  • Prepare presentations for clients and marketing initiatives.
  • Communicate professionally with clients and stakeholders, addressing routine inquiries.
  • Manage incoming and outgoing correspondence.
  • Maintain organized records and files.
  • Attend meetings with Trust Officers as required.
  • Answer phone calls and welcome visitors, ensuring a professional atmosphere.
  • Provide backup support for the Receptionist when necessary.

ADDITIONAL DUTIES: Perform any other tasks assigned by the Market President that align with the employee's qualifications and capabilities.

SUPERVISORY RESPONSIBILITIES: None

QUALIFICATIONS: To excel in this position, candidates must demonstrate proficiency in the essential duties outlined. Reasonable accommodations may be provided for individuals with disabilities.

EDUCATION AND EXPERIENCE: A Bachelor's Degree in Finance, Accounting, Business, or a related field is preferred. Experience in trust services is advantageous.

LANGUAGE SKILLS: Ability to read and interpret business publications, professional journals, and regulatory documents. Proficient in composing original correspondence and reports.

MATHEMATICAL SKILLS: Competence in basic arithmetic operations and the ability to compute rates and percentages.

REASONING ABILITY: Capable of identifying problems, gathering data, and drawing valid conclusions.

OTHER SKILLS: Strong interpersonal, verbal, and written communication skills; ability to collaborate effectively and assist others in problem-solving.

PHYSICAL DEMANDS: The role primarily involves sedentary work, with occasional lifting of light objects. Visual clarity at close range is required.

WORK ENVIRONMENT: The position is primarily office-based, with occasional travel to other locations as necessary.
