Position Title: Trust Assistant

Department: Trust Services

FLSA Status: Non-Exempt

Reports To: Market President


POSITION SUMMARY: This role is essential in providing support to the Market President and ensuring the smooth operation of the local market's trust activities. The Trust Assistant is a salaried, non-exempt position, responsible for accurately reporting hours worked, with all overtime requiring prior approval.

KEY RESPONSIBILITIES:

  • Uphold a high standard of confidentiality regarding all client and internal matters.
  • Deliver administrative and clerical assistance to Trust Officers, including managing trust transactions, drafting correspondence, and preparing documentation for the Trust Committee.
  • Effectively prioritize tasks and manage multiple responsibilities while maintaining exceptional service levels for clients.
  • Oversee the opening, closing, and maintenance of trust accounts.
  • Monitor cash balances to prevent overdrafts and manage large balances.
  • Coordinate tax reporting processes.
  • Conduct research and maintain accurate database entries as required.
  • Prepare presentations for clients and marketing initiatives.
  • Communicate professionally with clients, centers of influence, and prospects.
  • Address routine inquiries from clients.
  • Manage incoming and outgoing correspondence.
  • Maintain organized records and filing systems.
  • Attend meetings with Trust Officers as necessary.
  • Answer phone calls and welcome visitors and clients.
  • Provide backup support for the Receptionist when needed.

ADDITIONAL DUTIES: Perform any other tasks assigned by the Market President that align with the employee's qualifications and capabilities.

QUALIFICATIONS: To succeed in this role, candidates must meet the following requirements:

EDUCATION/EXPERIENCE: A Bachelor's Degree in Finance, Accounting, Business, or a related field is preferred. Experience in trust services is advantageous.

LANGUAGE SKILLS: Proficient in reading, analyzing, and interpreting business publications, professional journals, and regulatory documents. Capable of composing original correspondence and reports.

MATHEMATICAL SKILLS: Ability to perform basic mathematical operations and compute rates, ratios, and percentages.

REASONING ABILITY: Skilled in problem-solving, data collection, and establishing facts to draw valid conclusions.

OTHER SKILLS: Strong interpersonal, verbal, writing, and analytical skills; ability to collaborate effectively with others.

PHYSICAL DEMANDS: This position primarily involves sedentary work, requiring minimal physical exertion. Reasonable accommodations may be made for individuals with disabilities.

WORK ENVIRONMENT: The work environment is predominantly office-based, with occasional external engagements. Employees may be exposed to varying weather conditions when traveling to different locations.
